How to make an invoice
Open the free invoice generator and the sheet is already there. No sign-up screen, no empty dashboard, nothing to install. To create an invoice online:
- Put your business name, address and contact details in the From box.
- Add who you're billing, an invoice number, and the date the payment is due.
- List what you're charging for, with quantity and rate. Add tax, a discount, shipping or a part payment only if you need them.
- Check the balance due, then print the invoice or save it as a PDF and send it yourself.
That is the whole of it. The same four steps make a bill, a billing invoice or a sales invoice. They are all the same document with a different name on the front, and the name is a text box you can change.
A free invoice template you can actually edit
Every label on the sheet is editable, so the invoice template bends to your business instead of the other way round. Rename Invoice to Tax Invoice, Bill to to Customer, Rate to Day rate. Add your own columns, whether hours, unit or item code, anything you name. Or take the quantity and rate columns out and type each amount by hand.
It is a blank invoice template when you want a simple invoice, and a detailed one when the job needs it. Drop your logo in the corner and it is your own invoice design rather than a generic printable invoice you have to work around.
Create an invoice online and download the PDF
When it looks right, hit Preview to see the finished document with the editing furniture stripped away and empty fields dropped. Print it on paper, or save it as a PDF invoice from the same dialogue. The PDF is produced by your own browser, so the type stays sharp at any size and the file never passes through anyone else's server.
Save as file puts the whole sheet on your disk as a small .json file.
Open it next month and change only what moved, the customer, the dates, the line items,
rather than starting the invoice again.
An invoice maker for freelancers and small business
A freelance invoice is usually hours multiplied by a rate; a consulting invoice adds expenses underneath; a service invoice for a repair wants labour and parts on separate lines. All three are the same sheet with different columns, which is why the columns are yours to set. Small business invoicing rarely fits a fixed form, so this one does not impose one.
Thirteen currencies sit at the top of the picker and the rest of the world's currencies below, with symbols that follow through to every figure on the document.
Invoice numbers
Each document opens with a number like INV-0001, and it is a text box like
everything else. The usual approach is a short prefix and a number that only ever goes up:
INV-0001, then INV-0002. No two invoices share a number and you can
find one later from the number alone. Prefix by year or by customer if that suits you better.
More than an invoice generator
The same sheet makes the other paperwork a small business needs: a quote to price a job before it starts, an estimate when the scope isn't settled, a proforma invoice for customs or an advance payment, a purchase order to a supplier, and a receipt once the money lands.
There is a credit note for correcting an invoice you have already issued, a delivery note and goods received note for what travels with the goods, a job card for work booked in, and a statement of account showing everything a customer still owes.
Documents without prices
Not every document is about money. On a delivery note or a goods received note the Amount column and the totals are gone entirely, because the person signing on the loading bay has no business seeing your margins. Those pages carry a signature block instead: two columns, ruled lines, ready to be signed and handed back.
You can do the same on any page: remove the Amount column from the column bar and the totals disappear with it. Add it back and they return.
Nothing leaves your browser
There's no account because there's nothing to hold an account against. Your client names, prices and logo stay in the page while it's open and go nowhere else. No server, no analytics on what you typed, no copy of your invoice on someone's disk. Close the tab and it's gone, which is why Save as file matters.
The trade-off is honest: we can't recover a sheet you didn't save, there is no invoice history across devices, and the page cannot email an invoice for you. You print it or save the PDF and send it yourself. For most people billing a handful of clients a month, that's the right trade.
Questions
How do I make an invoice for free?
Open the invoice generator, fill in the sheet, and print it or save the PDF. There is no sign-up, no trial and no limit on how many invoices you make.
Do I need to create an account?
No. There is no account and no login, because nothing is stored anywhere for an account to hold. The page works the first time you open it.
Can I download the invoice as a PDF?
Yes. Choose Print or save PDF and pick "Save as PDF" in your browser's print dialogue. The file is made on your own machine.
Is there a watermark on the invoice?
No. Nothing is added to the document: no watermark, no branding, no footer advert.
Can I put my own logo on it?
Yes. Click the logo box and choose an image. It is embedded in the saved file, so it comes back with the sheet next time.
How should I number my invoices?
Use a short prefix and a number that only goes up, like INV-0001. What matters is that no two invoices share a number and that you can find one again from the number.
Can I make a quote, an estimate or a receipt too?
Yes, eleven documents in all, including quotes, estimates, receipts, purchase orders and proforma invoices.
Can I edit an invoice after I've made it?
Save it as a file first. Save as file writes a small .json file to your disk; Open a saved file brings it back so you can change it and print it again.
Is there a limit on how many invoices I can make?
No. There is no cap, no trial period and nothing to upgrade to. The page works the same on the first invoice and the five hundredth.
Can I add my own columns?
Yes. The column bar above the table offers Qty, Rate, Hours, Unit and Item code, or you can name a column yourself. Take the Amount column out and the totals go with it, which is what the delivery note and goods received note do.
Can I change the currency?
Yes. Every currency in common use is in the picker, and it opens on the one that matches your country. The symbol follows through to every figure on the document.
Can I put a QR code or a barcode on an invoice?
Yes. Choose a QR code or a Code 39 barcode in the sidebar, put a payment link or a reference in the box, and place it at the top or the bottom of the sheet.
How do I add tax or VAT?
The Tax row sits in the totals. Type a percentage and it is applied after any discount. Add your tax registration number in the notes if your country requires it on the document.
Can I print the invoice rather than save a PDF?
Yes, from the same button. What prints is what you see in Preview, with the editing furniture removed and empty fields dropped.
Can I get a signature line on the document?
Yes. Switch the signature block on in the sidebar and two ruled columns appear at the foot of the sheet, ready to be signed and handed back.
What is the difference between an invoice, a quote and a receipt?
A quote offers a price before the work. An invoice asks for the money once the work is done. A receipt confirms the money arrived. Each has its own page here.
Does it work on a phone?
Yes. The sheet reflows for small screens and prints the same on paper whatever you filled it in on.
